Standard Administrative Procedure (SAP) Committee Meeting

Wednesday, June 23, 2010, 7 p.m.

AGENDA*

1. Call to order and attendance.
2. Acceptance of minutes of June 2, 2010 meeting.
3. Old business to be assisted by an open forum prior to the taking of votes.
   1. Status of minor editing of  15 recently approved SAP’s (Richard)
   2. Determine approach to developing a HIPPA SAP vs. website posting.
   3. Review status of Duties of the Safety Officer SAP 1211.09 (Chief)
   4. Review status of District Hiring Policy and Procedures SAP 1211.00 (Richard).
   5. Review status of consolidating SAPs 5210.00, 5210.10 &5210.20 regarding SAP/SOP formatting plus codes and SAP/SOP index as appendixes. (John)
   6. Review status of Rescue Recovery Fund acceptable use. (Kent & Richard)
   7. Review status of SAP 5216, Correspondence Policy, e.g. logos, etc. (Skip)
   8. Consistency and redundancy check of SAP vs. SOP formatting and subject matter.
   9. Confirm compliance with RI EMS Rules & Regs. on mandatory documented policies.

                                                              i.      Non-discrimination, freedom from harassment.

                                                            ii.      Staffing requirements and duties.

                                                          iii.      Conduct of personnel. (Richard to review and provide additional input if needed.)

                                                          iv.      Resolution of internal and external conflicts.

                                                            v.      Media relations.

10. Review status of IT acceptable use SAP.  (Joan’s input)
11. Review status of grievance SAP (Jean’s input)
12. Firemen’s Fund management determination.
13. Update on establishing secure documentation control.
3. New business to be assisted by an open forum prior to the taking of votes.
   1. Resolve SAP numbering sequence discrepancy in areas of #s 5211 & 5354.
   2. Additional SAPs to considered

                                                              i.      Inventory of district property requested by treasurer.

                                                            ii.      Receiving of fire tax payments requested by tax collector.

                                                          iii.      Organizational chart.

                                                          iv.      Any other SAP that the committee deems as being necessary or has been requested by the Board of Directors, District and/or Department officers.
